For accounting, insurance, and professional offices

Quit chasing clients for the same pages.

Bookkeepers, tax preparers, insurance agents, and small professional firms. Half the week goes to asking clients for missing documents and typing their forms into your system. We build the first fix on your own accounts, and you pay only if you keep it.

Where the time goes

The office work that piles up.

Retyping

A client sends an intake form or a scanned statement. Someone in your office reads it and types the same details into the practice system, one field at a time.

Remembering

Who still owes a tax form, who sent half a folder, and who was told to call back is tracked in email threads and sticky notes. Busy season makes it worse.

Waiting

The return or the policy can't move forward because one page is missing. Everyone waits on a client who didn't know which page it was.

Kinds of jobs we'd take on

  • A checklist for each type of client, so the same missing pages stop coming up one email at a time.
  • Polite reminder messages that your staff approves before they go out.
  • Incoming documents read, named, and filed in the right client folder.
  • Intake forms read into the fields of your practice system, with anything unclear sent to a person.
  • A private assistant on a shop server in your office, for questions about your own client files. It is quoted separately.

Kinds of work, scoped one job at a time. Not a list of past clients.

What stays with your people

  • Advice, judgment calls, and anything a client signs.
  • Deciding whether a document is the right one.
  • The conversation with a client who is behind or worried.

Offices in the county take on more clients each season without a matching hire. The people who know your clients are the same people stuck retyping, so the most useful help is the kind that gives them their time back.

Questions

What small offices ask first.

How does the pay-only-if-you-keep-it offer work for an office?

We write down one job, such as the document checklist, and the price. Your staff uses it for 30 days. If it doesn't do what the page says, we shut it off and you owe nothing.

Will it connect to our practice or accounting software?

We can connect to QuickBooks Online and the programs your office already runs. Offices run many different programs, so we begin with a look at yours. We won't promise a connection until we've seen how it would work.

Are my clients' confidential files safe?

Files stay on your own accounts or on a server in your office. Be aware that when a hosted AI model reads a page, that page is sent to it. The written scope says exactly what is sent, and you can say no.

Can you set up an assistant that only my office can use?

Yes, as a quoted build, not part of the 30 days. It's an open-source assistant on a shop server in your office, with limited permissions and a log. It isn't open to the internet. Without local AI hardware, questions still go to a hosted model.

Pay only if you keep it.

Tell us the job. We'll come look, write down the scope and the price, and you use it for 30 days before you decide.
